All the effort from previous chapters culminates here. Project managers want clear, actionable summaries showing where things stand. Reporting is the art of delivering the right information to the right person.

1. Grouping, Sorting & Filters

Grouping: Instead of WBS, try grouping by OBS, Resources, or Project Codes for different perspectives.

Filters: P6 ships with ready-made filters:

  • Critical — Critical path activities only.
  • Two Week Lookahead — Activities in the next two weeks.
  • Custom filters with logical operators (AND/OR).
💡 Important: Save your filters under User Defined, not Global — don't pollute the company database.

2. Reports Module

Go to Tools → Reports → Reports. The Report Wizard lets you:

  • Create tabular or summary reports.
  • Choose columns, grouping, and filters.
  • Export as HTML, CSV, or print directly.

3. Primavera Visualizer

A separate application that transforms P6 schedules into presentation-grade printable boards (A0/A1):

  • 3D Gantt bars with gradient colors.
  • Company logos and professional headers.
  • TSLD (Time-Scaled Logic Diagrams) for consultant submissions.

4. Import/Export File Formats

  • .XER: The gold-standard format for planning engineers worldwide.
  • .XML: For cloud integration and BIM 4D (Navisworks/Synchro).
  • Excel (.xls): Bulk-edit 1000 activity names fast, then re-import.
⛔ Critical Rule: Never import a subcontractor's XER into your Production Database directly! Import into a Sandbox first — the file may overwrite your Global Calendars.
